Data and Information
All patients are required to provide contact details, including full name, address, telephone number, and email, to secure appointments.
All patients are required to complete a medical history form. This is necessary to inform the consultation and treatment planning process.
All information will be treated as confidential and protected by Data Protection legislation.
Patient information will not be shared with third parties without written permission, and you will not receive unsolicited information from us.
Appointments
Initial Consult: We offer a free initial hair transplant consultation with Dr. Zayn, conducted virtually via video call. This appointment is designed to answer your questions, provide accurate and honest information, and guide you in making the decision that's right for you.
In-Person Consult: Following your free virtual consultation, if you wish to proceed, we offer in-person appointments. This allows us to examine your scalp in detail, map the areas requiring treatment, confirm your surgical goals, and finalise all necessary details. The fee for this in-person appointment is £200, which is fully redeemable against the cost of surgery. For international patients, this assessment can be carried out virtually if needed.
Appointment Cancellation Policy: For in-person consultations, we operate a 7-day cancellation policy. If you wish to cancel or rearrange a booked appointment, we kindly ask you to give us 7 working days’ notice. We reserve the right to retain the full consultation fee if there is non-attendance or adequate notice is not given.
Should you cancel or reschedule your appointment outside of the 7-day cancellation policy, the consultation fee will not be available to redeem against a consultation and/or treatment at a later date. Please provide as much notice as possible if you decide to cancel or rearrange your appointment to allow us to make as much use of the clinic diary.
Please do not attend the clinic for an appointment if you are unwell. If you are unsure, please contact us to discuss this further.
In rare situations or unforeseen circumstances, we may need to amend or cancel clinic dates at short notice. We reserve this right; however, we will aim to provide advanced notice where possible and be accommodating where we can. Please note that travel and accommodation expenses incurred are not the responsibility of the clinic.
Treatment Fees
Initial virtual consultations are free
In-person follow-up consultations to finalise the surgical plan incur a £200 consultation fee, payable in advance and redeemable against treatment. Please note that the fee is non-refundable if the appointment is cancelled with less than 7 days notice, regardless of the reason.
Quotations: A detailed breakdown of the total cost for any proposed and agreed treatment plan will be provided after your consultation. For an overview of general treatment fees, please refer to the pricing section on our website.
Surgery Deposit: To secure a hair transplant procedure, a £1,000 deposit is required. This amount will be deducted from the total cost of the procedure. The deposit is fully refundable if cancellation is made more than 30 days prior to the scheduled surgery date. Cancellations made within 30 days of the procedure will result in the deposit being non-refundable.
Remaining Balance: The outstanding balance must be settled no later than 30 days prior to the scheduled surgery date. If the procedure is cancelled with more than 14 days’ notice, the remaining balance payment is fully refundable. For cancellations made within 14 days of the surgery, 50% of the remaining balance will be refunded to cover clinical and administrative costs.
Rescheduling Policy: We understand that life can be unpredictable, and sometimes plans need to change. If you need to reschedule your surgical date, we kindly ask that you provide as much notice as possible.
With more than 30 days’ notice: You may reschedule your surgical date without incurring any additional deposit.
With less than 30 days’ notice: A further deposit of £1,000 will be required to secure your new date. This amount will remain fully redeemable against your total treatment cost.
Refunds
Fees charged are for the delivery of treatment and the accompanying service, which is inclusive of the following:
Consultation and assessment.
Provision of information and advice.
Safe surgical treatment.
Follow-up appointments and aftercare advice and support as appropriate.
We are committed to delivering outstanding service along with honest and ethical advice. Our treatments are safe and performed by experienced professionals.. However, we cannot promise specific results and cannot offer refunds if the outcomes don't meet your expectations.
Every effort will be made to ensure you have the best possible outcome, but as with all surgical procedures, there can be a spectrum of results. As individuals differ in their responses to and the outcome of the treatment, no guarantees can be given. Surgical fees cannot be refunded in the case of a sub-optimal result, including no result, or complications, as all fees paid are related entirely to the services provided i.e. professional time, expertise, product costs and other costs incurred in providing the surgery, and those costs are incurred irrespective of the results achieved.
Children (age of consent) and Pets
We do not treat children or young adults under the age of 18 (you must be at least 18 years of age to use our website and/or services). Please do not bring children to the clinic unless they are old enough to be left unsupervised. For safety reasons, children and pets will not be allowed to accompany you into the treatment rooms.
Feedback
We appreciate any feedback, both positive and negative. Feedback is used to review and improve the quality of service. You may submit feedback verbally, via email, on the clinic website, or through Google reviews.
Complaints
If you have a complaint, please inform us as soon as possible. We aim to acknowledge all written complaints within 7 working days.
